Overall Responsibility
The Office of the Bishop Associate assists the Executive Assistant to the Bishop with all Office needs, including but not limited to organizing and coordinating materials and calendars, supporting meetings and events sponsored by the Office, and serving as back-up as needed.
Essential Duties and Responsibilities
- Create and maintain file folders for all meetings, speaking engagements and liturgical events scheduled with the Bishop, including maintaining a related spreadsheet, ensuring files are available as expected and retained in the appropriate location and monitoring calendar entries.
- Responsible for coordination of liturgical planners for all Masses and Confirmations celebrated by the Bishop.
- Coordinate all meetings and events sponsored by the Bishop’s Office including:
- Attending and being on the ground at the event inclusive of set-up and any after event requirements.
- Creating invitations, distributing and collecting RSVPs.
- Making location reservations and ordering food and refreshments.
- Creating meeting/event nametags and any other associated needs.
- Calling attendees prior to meetings and events to confirm attendance and/or as a reminder.
- Copy meetings and events materials, including prayer booklets and other documents as needed.
- Before each event sponsored by the Bishop’s office, coordinate with all departments involved to understand the needs, goal, budget and purpose of the event.
- Provide general assistance in the Office of the Bishop such as updating documents, responding to correspondence and assisting with calendar needs.
- Serve as back-up to the Executive Assistant to the Bishop when s/he is out of the office.
- Able to work additional hours as needed.
- Other duties as assigned.
Education, Qualifications and Experience Requirements
- Three to five years directly related experience; experience coordinating events preferred.
- Associate’s Degree in business or other related-discipline preferred.
- Strong computer skills in MS Office, Word, PowerPoint, Excel and Adobe Graphics.
- Deep knowledge of Catholic faith and teachings.
- Ability to maintain a high level of discretion and handle details of confidential nature.
- It is essential that the individual becourteous, articulate, and reliable, have a strong attention to detail and be able to multi-task in a busy, professional environment.
- Ability to efficiently organize work, work under pressure and to effectively manage multiple priorities.
- Excellent writing, proofing and editing skills.
- Excellent communications skills by phone and in person and the ability to maintain a high level of discretion and handle details of confidential nature.
- Strong interpersonal skills including the ability to interact and collaborate with a variety of people.
- Ability to attend weekend/evening events as required.
- Active member of a parish/faith community in good standing with the Church preferred.
